Terms & Conditions
1. Bookings
All bookings are considered provisional and only confirmed once the deposit has been received. Places are on a first come first served basis.
Parties require a non refundable deposit of £100 to secure the booking with the balance payable 6 weeks prior to the party date and based upon numbers confirmed then and subject also to the agreed minimum booking fee. (Final Payment is not based on the initial enquiry as this may change and we don’t want you to pay for guests not attending).If the balance remains unpaid within 2 weeks of the party we reserve the right to cancel your party or class, without refunding the deposit although we will, at our discretion, issue a voucher that you can use against future parties with us for the same value. Once the final balance is paid we will not issue refunds.
The Party Organiser must be authorised to make the booking on the basis of these Booking Conditions by all persons in the party group. We can only accept bookings if all the party members are a minimum of 18 years and over unless a parent or guardian is also in the party. All enquiries and bookings will be confirmed by email.
Lessons & Workshops require payment in full prior to the course commencement lessons starting. If you are unable to attend the lesson or one of the classes on your course and you give us at least 48 hours notice you may be able to attend another class at no extra cost, to make up the missed class. If you do not give us at least 2 days notice you will forfeit the lesson or class.
Master Classes require payment in full prior to the course commencement lessons starting or 50% deposit whatever is stated at the time of the booking. All monies paid are non refundable.
Instructor Training requires a £100 NON REFUNDABLE deposit to reserve your place on the course with the balance being paid 6 weeks in advance of the course date. Changes to course dates are free if requested with a doctors certificate otherwise a £25 admin charge will be incurred for every transfer made. Final payment is due 6 weeks before the course date. Course materials and books will be available on the first day of the course. Course books posted out will be at a postage fee of £25 per course. Refunds: All monies paid are non refundable unless requested with a valid recent doctors certificate.
Accommodation bookings are based on a shared room basis with your party and usually based upon 8 guests on a shared room basis, min 2 sharing per room, and based on twin, double and family rooms. All accommodation bookings will require a 50% non refundable deposit to be paid before the booking can be confirmed and is taken on availability of the venue in question. Final payment is due 6 weeks prior to the accommodation date and based upon numbers confirmed at this stage. Accommodation bookings are sold as a package and may not be part booked or part refunded unless confirmed in writing by us at time of original booking.
If the number in the party drops then the balance is due on the confirmed numbers in the party subject also to the agreed minimum booking fee. The deposit amount paid cannot be used to supplement the final payment in the event of party members not attending. You are strongly advised to take out adequate insurance for your event at the time of booking as we cannot be held liable for loss of booking through cancellation from events out of our immediate control (ie pregnancy, accident or if your partner is not happy that you are going to become more sexy and empowered!)
2. Website and Quote Descriptions
All website and quote descriptions are made in good faith and every care is taken to ensure their accuracy and is always confirmed by email. However, errors may occasionally occur. We cannot accept any liability for any errors or omissions if we are not notified immediately upon receipt of the email confirmation. We reserve the right to make changes to and correct errors in our website and quotes at any time.
3. Changes and Cancellations by us.
If we have to make a significant change or cancel, we will tell you as soon as possible. Whilst we always endeavour to avoid changes and cancellations, we must reserve the right to do so. This relates to alterations to parties and classes booked with us and applies to start dates, times, venue locations. If a change has to take place, we will offer suitable alternatives. If however none of the alternatives are convenient for you, we will offer you a full refund.
4. Changes and Cancellations by you
Once payment has been processed, you are booked for the specific date and venue you have asked for. You may transfer the date or time up to 4 weeks prior to the date of your party. Within 4 weeks, we’re happy to transfer you subject to availability. If you wish to change your booking in any way we will try to comply with your requests but we cannot guarantee that changes can always be made. Where a change can be made, we will not charge an amendment fee however reductions in numbers will not be refunded once the booking has been paid. Where the price of your arrangements depends on the number of people booked and extra people are added to the booking, the price will be reworked on the basis of the new number of people going and we will send you confirmation by email where you will be required to pay the increased price.
If you wish to cancel all or any part of your booking, you should advise us immediately by telephone or email where we will make a cancellation charge on the scale shown. You are advised to take out adequate cancellation insurance at the time of booking.

5. Shop Products
Order and Payment Options: Ordering from our site is simple and easy and can be made online using our shop via our secure payment system or to place your order by phone please call us on 0871 318 3838 during business hours Monday to Friday. We accept most major credit cards, MasterCard, Visa, Visa Delta, Switch (not American Express) and we can accept payment by phone or can arrange payment via PayPal.
Online Security: Shopping on our site is safe! Our order processing system uses 128 bit High-grade encryption, so that when you provide us with any personal information including your name, address, e-mail and credit card number, it is processed over a secure connection on secure servers.
We use Secure Socket Layers (SSL) to encrypt all information you provide before sending it to our servers. SSL is the industry standard and the best software available for secure ecommerce transactions.
Product Guarantee: If any of our products do not live up to the standard you expect; or you don't achieve the results you were hoping for; or you are dissatisfied with our services; or you feel we have let you down in any way... not only will we refund the cost of the product purchased, but we will make it our mission to help you achieve exactly what you were hoping to achieve by purchasing our products in the first place.
Delivery: Orders are posted on Tuesday and Friday. If you make your purchase on any other day your order will be dispatched on the next available post day.
Shipping and Handling: All orders are sent via Second Class Mail and postage is included as standard to UK mainland only. First class, special delivery requests or all other areas will require additional postage which will be confirmed with you prior to your credit card being charged. If you require the item delivered urgently please confirm this with your order or by calling us on the next business day after your order and we will confirm first class postage assuming applicable (not available for pole orders).and are usually received within 8 to 10 business days
Dance Poles: Are delivered by courier and are usually dispatched 5 days after payment and confirmation of required height although as poles are bespoke made we cannot guarantee this time. All orders are final and we cannot accept returns on poles unless they are faulty.
Gift Certificates: These can be personalised and delivered ready gift wrapped to suit, so please call with your requirements and all orders are kept confidential so we do not ruin the surprise!
Returns: If you are not satisfied with your purchase simply return the goods in an unused condition & in their original packaging within 14 days of purchase. We will then credit your account. It is the customer’s responsibility to ensure the safe return of the goods. The customer's return shipping costs cannot be refunded. Please note that custom made-to-order goods cannot be refunded ie. poles.

6. Health and Safety
Before taking part in any physical activity with us or a Pole Passion instructor, all pupils are required to fill out a medical questionnaire and sign a disclaimer. If you have doubts about your physical well-being or know that you are pregnant, please inform your Pole Passion instructor before engaging in any type of activity. If you are booking on behalf of a group, please check with all your guests and advise us of any injuries or if anyone is pregnant. You must correctly follow instructions given by Pole Passion staff and instructors at all times and failure to do so may result in instruction being stopped without recourse.
7. Smoke Free Policy
Pole Passion Ltd has always insisted on a smoke free environment both for the health of our staff and guests. To comply with the Health Act 2006 and with effect from Sunday 01st July 2007 smoking is prohibited by law in all Pole Passion venues.
8. Behaviour
We reserve the right to terminate your arrangements with us if your behaviour or that of any members in the booking is likely in our opinion to cause distress, damage, danger or to annoy customers, other members of the party, employees, property or anyone else. If you arrive for lessons or parties clearly under the influence of alcohol or drugs you will not be permitted to continue and you will not be able to complete your Arrangements with us and further will not be liable for any refund or compensation or any costs you have to pay.
9. Privacy: Our clients and visitors privacy is something we take very seriously so let us reassure you of how your data is used by us. Any information you provide is disclosed only to Pole Passion Ltd and we will not distribute, sell, rent or give your information to any organisation or third party.
Collection of Information: We gather information about visitors to our website in two ways:
Information you have knowingly provided via an online form that identifies you or your company specifically; and
Non-identifiable information gathered by monitoring traffic by web server data and IP addresses. We only use aggregate information, so individuals and corporations are NEVER identifiable.
Submitting Requests: We gather information when you submit requests for information by filling in the relevant online forms. Each form will require specific information depending on the nature of the request. These forms will be required when you:
Request information about products and services;
Make an online purchase from this site; or
Enter a competition or promotion on this site.
Using Your Information: The information contained in the forms will be limited to generating the appropriate response to your request. We only use your information to supply relevent information pertaining to your request.
Information gathered online through our web server data will be used by us to further understand and improve our market and market position, so we can improve our products and services. We also use this information to facilitate your navigation through our web site and customise the content to suit your interests and business requirements.
Anti Spam: We only ever send information following a request from you and will never knowingly send information via email not relating to your original request unless you have knowingly signed up to receive our newsletters which contain opt-out links or you can contact us directly to remove your name from our newsletter list.
Visiting Linked Sites: Whilst we maintain all measures to protect your privacy, we are unable to monitor or control the Privacy Policies of any of our linked web sites. Therefore, we ask that when you visit a linked web site, you review the Privacy Policies on the linked web site before you disclose any personal or company details there. Pole Passion cannot accept any responsibility for the content or actions of any linked sites to our web site(s).
10. Force Majeure
Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our obligations under our contract with you is prevented or affected by Force Majeure. Additionally we cannot accept liability or pay any compensation where you suffer any damage or loss as a result of Force Majeure.
11. Law and Jurisdiction
This Agreement and all matters arising out of it shall be construed and governed according to English law and shall be subject to the exclusive jurisdiction of the Courts of England and Wales.
