Terms & Conditions
1. Bookings
All bookings are considered provisional and only confirmed once the deposit has been received. Places are on a first come first served basis.
Parties require a non refundable deposit of £100 to secure the booking with the balance payable 6 weeks prior to the party date and based upon numbers confirmed then and subject also to the agreed minimum booking fee. (Final Payment is not based on the initial enquiry as this may change and we don’t want you to pay for guests not attending).If the balance remains unpaid within 2 weeks of the party we reserve the right to cancel your party or class, without refunding the deposit although we will, at our discretion, issue a voucher that you can use against future parties with us for the same value. Once the final balance is paid we will not issue refunds.
The Party Organiser must be authorised to make the booking on the basis of these Booking Conditions by all persons in the party group. We can only accept bookings if all the party members are a minimum of 18 years and over unless a parent or guardian is also in the party. All enquiries and bookings will be confirmed by email.
Lessons & Workshops require payment in full prior to the course commencement lessons starting. If you are unable to attend the lesson or one of the classes on your course and you give us at least 48 hours notice you may be able to attend another class at no extra cost, to make up the missed class. If you do not give us at least 2 days notice you will forfeit the lesson or class.
Accommodation bookings are based on a shared room basis with your party and usually based upon 8 guests on a shared room basis, min 2 sharing per room, and based on twin, double and family rooms. All accommodation bookings will require a 50% non refundable deposit to be paid before the booking can be confirmed and is taken on availability of the venue in question. Final payment is due 6 weeks prior to the accommodation date and based upon numbers confirmed at this stage. Accommodation bookings are sold as a package and may not be part booked or part refunded unless confirmed in writing by us at time of original booking.
If the number in the party drops then the balance is due on the confirmed numbers in the party subject also to the agreed minimum booking fee. The deposit amount paid cannot be used to supplement the final payment in the event of party members not attending. You are strongly advised to take out adequate insurance for your event at the time of booking as we cannot be held liable for loss of booking through cancellation from events out of our immediate control (ie pregnancy, accident or if your partner is not happy that you are going to become more sexy and empowered!)
2. Website and Quote Descriptions
All website and quote descriptions are made in good faith and every care is taken to ensure their accuracy and is always confirmed by email. However, errors may occasionally occur. We cannot accept any liability for any errors or omissions if we are not notified immediately upon receipt of the email confirmation. We reserve the right to make changes to and correct errors in our website and quotes at any time.
3. Changes and Cancellations by us.
If we have to make a significant change or cancel, we will tell you as soon as possible. Whilst we always endeavour to avoid changes and cancellations, we must reserve the right to do so. This relates to alterations to parties and classes booked with us and applies to start dates, times, venue locations. If a change has to take place, we will offer suitable alternatives. If however none of the alternatives are convenient for you, we will offer you a full refund.
4. Changes and Cancellations by you
Once payment has been processed, you are booked for the specific date and venue you have asked for. You may transfer the date or time up to 4 weeks prior to the date of your party. Within 4 weeks, we’re happy to transfer you subject to availability. If you wish to change your booking in any way we will try to comply with your requests but we cannot guarantee that changes can always be made. Where a change can be made, we will not charge an amendment fee however reductions in numbers will not be refunded once the booking has been paid. Where the price of your arrangements depends on the number of people booked and extra people are added to the booking, the price will be reworked on the basis of the new number of people going and we will send you confirmation by email where you will be required to pay the increased price.
If you wish to cancel all or any part of your booking, you should advise us immediately by telephone or email where we will make a cancellation charge on the scale shown. You are advised to take out adequate cancellation insurance at the time of booking.

5. Returns for Shop Products
If you are not satisfied with your purchase simply return the goods in an unused condition & in their original packaging within 14 days of purchase. We will then credit your account. It is the customer’s responsibility to ensure the safe return of the goods. The customer's return shipping costs cannot be refunded. Please note that custom made-to-order goods cannot be refunded ie. poles.

6. Health and Safety
Before taking part in any physical activity with us or a Pole Passion instructor, all pupils are required to fill out a medical questionnaire and sign a disclaimer. If you have doubts about your physical well-being or know that you are pregnant, please inform your Pole Passion instructor before engaging in any type of activity. If you are booking on behalf of a group, please check with all your guests and advise us of any injuries or if anyone is pregnant. You must correctly follow instructions given by Pole Passion staff and instructors at all times and failure to do so may result in instruction being stopped without recourse.
7. Smoke Free Policy
Pole Passion Ltd has always insisted on a smoke free environment both for the health of our staff and guests. To comply with the Health Act 2006 and with effect from Sunday 01st July 2007 smoking is prohibited by law in all Pole Passion venues.
8. Behaviour
We reserve the right to terminate your arrangements with us if your behaviour or that of any members in the booking is likely in our opinion to cause distress, damage, danger or to annoy customers, other members of the party, employees, property or anyone else. If you arrive for lessons or parties clearly under the influence of alcohol or drugs you will not be permitted to continue and you will not be able to complete your Arrangements with us and further will not be liable for any refund or compensation or any costs you have to pay.
9. Force Majeure
Except where otherwise expressly stated in these booking conditions, we regret we cannot accept liability or pay any compensation where the performance or prompt performance of our obligations under our contract with you is prevented or affected by Force Majeure. Additionally we cannot accept liability or pay any compensation where you suffer any damage or loss as a result of Force Majeure.
10. Law and Jurisdiction
This Agreement and all matters arising out of it shall be construed and governed according to English law and shall be subject to the exclusive jurisdiction of the Courts of England and Wales.
